The codelist functionality allows you to store personal identifiable information (PII) (like name, date of birth, contact information, etc.) in Ledidi in a secure way. 

Create a codelist record
  1. Create a new project by clicking the “New project” button on the dashboard
  2. Give your project a name
  3. Under “Allow personal identifiable information”, click “Yes” (For some institutions, your administrator has to approve the creation of this project.) 
  4. Open your project by clicking on the project card and start adding variables. 
    NB: Do NOT add PII variables to the project in the “Variables” window! All other variables can be created here. 
  5. Go to the Dataset window and create an entry by clicking “New entry”
  6. Fill out at least one variable and click “Save”. The codelist icon is now visible next to the Save button.
  7. Click the Codelist icon
  8. Click "Create new record" to create a new codelist record. 
  9. Fill in any PII you want to store in this codelist record. The codelist ID will be visible in the Dataset window; any other PII will not. 
    NB: The codelist ID has to be unique across the project.
  10. Click “Save”
 
Assign a codelist record to multiple entries
  1. Go to the Dataset window and create an entry by clicking “New entry”
  2. Fill out at least one variable and click “Save”. The codelist icon is now visible next to the Save button.
  3. Click the Codelist icon
  4. Click "Search existing records"
  5. Find the correct existing codelist record that should be matched to this entry by searching any PII
  6. Select the correct record
 
Change a codelist record
  1. In the Dataset window, open the entry you want to change the codelist record for
  2. Click the codelist icon
  3. Click “Edit”
  4. Make the desired changes
  5. Click “Save” Changes will affect all entries connected to this codelist ID 

Delete a codelist record
  1. In the Dataset window, open the entry for which you want to delete the codelist record for
  2. Click the codelist icon
  3. Click “Delete” 
    NB: This will delete the codelist record for the CURRENT entry. If this codelist ID has multiple entries associated with it, these will not be deleted. To fully delete all PII from a codelist record, delete the codelist information for this record from ALL entries it is connected to.
 
Search the codelist
  1. In the Dataset window, a search box for PII is shown at the top right of the screen.
  2. Select at least one field with PII to search
  3. Click “Search”
  4. A list of matching records will be displayed 
    NB: You need to have reading access to the codelist to search.

Export the codelist
  1.  In the Dataset window, click on the three dots on the right side of the screen
  2. Select "Export codelist" from the drop-down menu
  3. Select the format and click "Download" Import an existing codelist
  4. In the Dataset window, click on the three dots on the right side of the screen
  5. Select “Import codelist” from the drop-down menu
  6. Click the “Choose file” button and select a CSV or Excel file from your device
  7. Select which variable in the dataset will be used to identify the correct row in your file
  8. Define which fields in your file correspond to the fields in the Ledidis codelist. You should define at least one field.
  9. Confirm the chosen fields and click “Start import”
 
Who can access the codelist?
Access to the codelist is defined by the project owner for collaborators in the Permissions tab.  
  1. Go to the Collaborators window
  2. Select the correct collaborator and go to the permissions tab.
  3. Define the read and write access permissions
  4. Click “Update”

Which entries and codelist records the collaborator has access to is defined by the general data access this collaborator has.If the collaborator doesn’t have access to an entry, it will not show up in the codelist when searching. Learn here how to set or change collaborator permissions.
