Statuses are useful tools in many ways. For example, you can use statuses to organise your data entries by using them as tags, or you can use statuses to create roles assigned with permissions for your project collaborators. The status tag (status name + colour code) will be shown in the first column in the dataset and can be used for filtering and sorting entries. Examples of use cases:
Tagging of entries for whatever purpose to filter and sort the entries
Defining roles with assigned permissions
To create a status, go to "Project Design" in the main menu and choose "Statuses".
If this is the first status created in the project, click the "Create status" button. If you already have one or more statuses defined, click "+ New" and select "Status". Your project can contain up to 50 different statuses.
Give your new status a name (e.g. “First visit”, “Follow-up”)
You can choose to include a description of what the status implies.
You can choose to set a due time by defining "Due time amount" and the unit in "Due time unit". When the due time has been reached, a vertical red bar appears on the left border of the status tab in the Dataset window to alert that the scheduled time has been reached.
You can also choose to set the status as default. Every new entry created will then automatically be set with this status if not manually overridden by the one creating the entry. You can only have one status set as default in a project.
If you would like all existing entries in your project that have no defined status yet to be updated with the default status, check the "Update all entries without a status"-box.
Click on the coloured square to open the colour panel, and choose a colour for the status, which will be the status tag together with the status name.
Press "Add", and the status is created.
By default, all permissions assigned to a status (view, add, and change to another status) are turned off for your collaborators. See how to set status-based permissions.
IMPORTANT: If you introduce statuses into a project that already contains data entries, these entries will be marked as "no status". You must assign permissions to view, edit, and set status on entries with "no status" for your collaborators.
